When you know an IT Managed dataset is available for reporting, please follow these steps to access the dataset and create a report.

  1. Open Power BI Desktop and create a new report. Select "Power BI dataset" from the “Get Data” menu. Be sure to click on the drop down arrow, not on the icon above it.

  2. Choose the Power BI Dataset you would like to use and design your report. To verify which dataset you are using, you can see the name of the dataset you are using on the bottom right corner of your screen.

  3. Apply Row Level Security if needed. See Row Level Security in Power BI page for more information.

  4. Save as PBIX/PBIT file to Document Library in your department's folder in the UMS Power BI HUB SharePoint Library.

  5. Publish the report to the data workspace in Power BI ServicePerform additional Row Level Security Testing.  "Test As Roles" feature only works if report and dataset live in the same workspace.

    Power BI Ribbon. Choose Publish

  6. Remove the report from data workspace and publish to the designated reporting workspace when you are finished testing.

  7. Now you have Power BI reports that do not use their own dataset, but rather use a shared certified dataset from the IT-Managed data workspace. This can be easily seen in Power BI Service with a lineage view.
