DARTS : Oracle License Verification Form

Each winter, Oracle requests a license verification form (LVF) to verify our student and employee numbers for licensing purposes.

In 2019, Rachel received it from Tiff Maiuri and used the same methodology to complete it as the prior year.

The counts are for staff headcount and student FTE.

The data was pulled from the IPEDS data center by adding the next year of data available in IPEDS following the numbers that were provided to Oracle the year prior.

Considerations:

• In selecting the data variables needed to complete the form, please consult the variable names in the footnotes. 
• It is helpful to provide one prior year of data from last year's form when providing the newest numbers. This will also help you to validate the current numbers that you pulled.

1. Go to IPEDS Data Center: https://nces.ed.gov/ipeds/datacenter/InstitutionList.aspx
2. Select "Use Final Release Data" and Click "Continue"
3. Search for the seven UMS Campuses, as well as the UMS (eight institutions) and add them to your analysis
4. Once you see all eight institutions in your list, click Continue to go Select data variables
5. Use the images below to find the 12-month student FTE and Employee Headcount

1. Be sure you check ALL of the checkboxes you need to check–with the staff headcount, you have to click into Occupation and Full-and Part-time status and click 'Grand Total'
2. Select multiple years so that you can validate the prior year data with what is in IPEDS
3. Once you've selected all of your variables and years, click Continue
4. You should see the variables you selected; check the checkboxes to the left and click Continue
5. Select Download in comma separated format and click Continue
6. Use the CSV to update the attached Excel file. First check that the data you downloaded for prior years matches the prior years numbers in the Excel–if not, you may have selected different variables.
7. If prior year data matches, remove prior year data from Excel, move current year to prior year, and add the new data into the current year column in the Excel.
8. Update the variable names in the footnote and the downloaded from IPEDS information.
