This page shows the overview of Power BI report creation for UMS Accounting Office. 

Pre-requisite:

Steps:
There are 4 steps for the report creation.

  1. Find report:

    Browse Power BI reports for UMS08 Accounting Office and find a report you would like to change The list of reports is also available on Google Sheet to find the link. 

  2. Open file:

    Go to UMS08-FN-Accounting" SharePoint Folder >"Report in PRD" folder from your synched desktop folder. Find the report (the name should be the same) and open the report file.  Save the file with a new name. We will keep the draft file in "Test" folder or your local folder. (Once the report is ready to share, move the final file to the "Report in PRD" folder.)




  3. Modify report: 
    1. Add/ remove/ change visuals or values on the report. The Discoverer and Power BI Desktop page shows some functions available in Discoverer tool and how to do in Power BI. 

    2. The field with small calculator iconimage-2023-9-7_11-58-7.png is called "measure". When you click the measure, the calculation will appear on the box.  You can modify the existing measure or create a new measure on the report file.


    3. If the field in the "Custom Fields (Columns)" folder is used, the calculation of field is stored in the dataset file. The calculated column has to be modified or newly created in the dataset file. Please see UMS Accounting Office PBI Report - Fields for more information.

    4. Make sure to check the filter(s) of the report. The screenshot below shows the report on the page has filters for fund code and um_proj_minsrc. If you would like to remove the filter, hover over the filter box and click 'x' to remove the entire filter. The " Clear filter" will also do the same.

                   


4. Save (and publish): 

If you are sharing your report with other people in the office, follow the steps below.

    1. Once the report is ready, save the file in the "Report in PRD" folder in SharePoint.

    2. Click "Publish" to publish the report to a Power BI Service. (Make sure you are signed in)

    3. Choose 'FN-UMS08-Accounting" workspace.


    4. Once your report is published, click the link on the pop up window which will take you to the workspace in Power BI Service.

      If you are sharing the report with people outside UMS Accounting Office, go through the rest of the steps.
    5. Click "Update app" button which will take you to the App space
    6. If your report is new, click "Content" and "Add content" to add your new report. If your report is overriding the existing report, go to next step.
    7. Click "Update app" at the bottom right corner. The updated report will be available on the FN-UMS08-Accoutning App.
